Treatment of personal data and terms of use of online services

Treatment of personal data and terms of use of online services are presented in the following.
Information on the EU Data Act
The EU Data Act aims to promote the availability and use of data. Helen provides customers (users) of the products and services listed below with access to data generated from the use of the product or service. Access to data applies to data generated after 12 September 2025. Customers have the right to obtain information about what data is collected, how it is used, and how customers can use it themselves or transfer it to a third party.
Product- and service-specific Data Act information
The Kiinteistövahti software service and/or the system included in the Smart District Heating Substation service owned by Helen collects temperature and humidity data from the customer's (e.g. housing company) sensors located in the property. The data holder is Helen Oy (“Helen”, postal address Helen Oy, 00090 HELEN).
The service continuously collects temperature (°C) and humidity (%RH) data from apartment sensors every 15 minutes to 2 hours, depending on the system. The data is transferred from the sensors (usually by radio) and stored in Helen's system, where it is retained for a period agreed with the property owner (e.g. housing company). The data is accessible to a limited group of Helen's personnel, its software development partners, and in most cases, representatives of the property owner. The data is used to ensure good conditions in the property's premises and to optimize the production and building automation systems related to the heating of the property. Helen also uses the data for quality assurance, improvement of heating-related products and software services, and for customer support. Shared data does not include trade secrets.
Any data transfer from Helen's systems to the customer (e.g. housing company) or to a third party specified by the customer will be agreed on a case-by-case basis. In simple cases, the data can be transferred as a separate file (CSV), and in more extensive cases, by opening a JSON-type interface from Helen's system. Some customers (property owners) already have an interface to Helen's systems, in which case the collected data is already available to them.
The processing of personal data remains subject to the EU General Data Protection Regulation (GDPR). Please note that if a customer's (e.g. housing company) resident requests apartment sensor data from their own apartment, they must submit their data request to the customer (e.g. housing company). This operating model is due to the fact that Helen does not have information about the current residents of the apartments or the periods of occupancy, and Helen is unable to verify the resident's right to the data.
Data requests and any additional questions should be sent to datasaados(at)helen.fi. The customer has the right to lodge a complaint with the competent authority if they consider that the Data Act has been violated. Further information is available from Traficom.
Helen sells the Optimal Heating solution for heating apartment buildings and row houses. Optimal Heating collects data from the measurement points of the customer's (e.g. housing company) property's district heating substation. The data holder is Helen Oy ("Helen," postal address Helen Oy, 00090 HELEN).
As part of the deployment of the Optimal Heating, a connection device (router) is installed in connection with the property's district heating substation, which collects data at different intervals depending on the controlled property and sends it to Helen. Under a separate agreement, Optimal Heating can utilize the condition sensors (including apartment sensors) in the property. If the property has condition sensors and they are connected to Optimal Heating, their measurement data is collected.
Optimal Heating controls the heating of the property proactively using the property's heating controller. The data is used to ensure good conditions in the property's premises and to optimize the production and building automation systems related to the heating of the property. Helen also uses the data for quality assurance, improvement of heating-related products and software services, and for customer support.
Any data transfer from Helen's systems to the customer (e.g. housing company) or to a third party specified by the customer will be agreed on a case-by-case basis.
Helen sells electric vehicle charging stations to companies and housing companies, as well as a property charging management service related to the charging stations. Charging users use the charging stations through the electric vehicle charging service. The data holders are Helen Oy (“Helen”, postal address Helen Oy, 00090 HELEN) and Liikennevirta Oy (“Liikennevirta”, postal address Energiakuja 3, 00180 HELSINKI).
The property charging management service collects data from charging stations and charging events performed by charging users. The electric vehicle charging service collects data on charging events performed by charging users. The data is accessible to a limited number of Helen and Liikennevirta personnel. In addition, Liikennevirta's software development partners and representatives of companies/housing companies have limited access to the data. The data is used to allocate charging events to the correct users, to perform automatic billing and accounting, to manage charging electricity prices, to provide dynamic load management and other energy management services (including flexibility solutions), to enable remote control of charging points and access rights management, and to monitor faults and maintenance needs. Helen also uses the data to for service development.
A representative of a customer (company, housing company, or other company) who has entered into an agreement with Helen for charging management services has the right to request data from all charging stations. Depending on the access level of the customer's representative, the representative can independently retrieve data from the charging management service. If the data is not available, the customer's representative can send a data request and any additional questions to datasaados(at)helen.fi.
Charging users (e.g., residents of a housing company or employees of a company) who have registered for the charging service and accepted its terms and conditions of use are entitled to receive the data accumulated from their charging events in a machine-readable format. Data requests must be submitted in accordance with these instructions (in Finnish).
Customers have the right to lodge a complaint with the competent authority if they consider that the Data Act has been violated. Further information is available from Traficom.
